The Settings Section of MyMalcolm offers a variety of configuration options for your Instance.

Within this section you can change the following things:

The name and description of your Instance (this is seen within MyMalcolm by other Team members)
The subdomain used for your Malcolm! Instance and/or setup your own custom domain
Manage third party Javascript tracking tags
Turn the Hosted Hub off/on and configure whether it appears in search engines
Turn approvals off/on
Redirect base URL if Hosted Hub not used
Transfer Instance ownership to someone else
Delete your Instance
Turn FAQs on/off
Turn Workflows on/off
Manage your Integration credentials

What can I change or customise in the Brand Section?

The Brand section of MyMalcolm has many powerful options to help you change the look and feel, layout and content of your Malcolm! Hosted Hub in order to reflect your own brand.

Get started by going to the Brand section in MyMalcolm, copying your current theme, then editing things on the copied version.

Question 3

What is the Media Section in MyMalcolm?

The Media Section in MyMalcolm is a central place to manage images and other resources (eg PDF's) that you may wish to reference in your FAQs or use as part of the Brand customisation of your Malcolm! Hosted Hub.

You can upload resources directly into the Media section and any resources you upload via the FAQ or Brand sections will also automatically be put into the Media Section.

What are tags for in the Media Section?

Tags are a way (along with folders) of helping your organise and label your media.

They can be useful when your media library becomes large. For example, if you use rights managed images in your FAQs you could use tags to help you remember the expiry dates of those rights.

What are Integrations?

Accepted Answer

Integrations are a way of passing data you collect in a Malcolm! Workflow into other third party software or systems.

We currently offer integrations with:

Configuring Integrations

Once you have created your Workflow, go to the Configure section and select Integrations. There you can link your third party accounts at our integration partners to your Malcolm! Instance by providing your credentials. Once your accounts are linked you can configure integrations with that partner and choose the data from your Workflow that is passed across. You can configure whether data is passed on every Workflow completion or only when certain conditions are met. It is possible to have multiple integrations so, for example, you could create a form which collected details from a new customer including a copy of their ID. You could then subscribe that new customer to a Mailchimp mailing list and store their uploaded ID documents in your Dropbox account by creating two integrations.

Customer Consent

A reminder that it is good practice - and in certain territories a legal requirement - to ensure that your customers actively consent to their data being passed to third party companies who, like Malcolm!, act as data processors on your behalf. You act as the data controller. Most companies handle this consent via provisions in their Privacy Policy which their customers agree to. It is good practice therefore to include a check box in your Workflows that reminds customers of your Privacy Policy and their continuing agreement of it.

Integration Failures

Sometimes integrations may fail. This could be for a variety of reasons, for example the integration partner's API's may be down and/or there may be a problem with your account at the third party provider (for example your Dropbox account may be over quota).

Firstly don't worry re losing customer data - Malcolm! will always store any user submitted data so if there is a problem with an integration

When a problem occurs we'll create a notification to let you know and periodically retry the integration. You can review the Integration logs and retry a failed integration event manually via MyMalcolm (navigate to the Workflow via Library then select Integration logs).

Can I embed YouTube or Vimeo videos in my FAQs and Workflows?

You can easily embed YouTube or Vimeo videos into your FAQs and/or Workflows. Within the FAQ compose interface press the video icon. This will bring up an area where you can paste the URL of the video you wish to embed.

If you want to use some of the embed customisation options that YouTube and Vimeo offer you should use the full embed code from those platforms (rather than just pasting the URL). Paste their embed code into the lower part of the MyMalcolm insert video dialog.

For Workflows add a content element to your Workflow, then in the Workflow builder click to edit the content element and hit the video icon. This will bring up the same dialog as above.

Question 7

How do I review the feedback on my FAQs or Workflows?

Accepted Answer

You can choose whether to allow your customers to feedback on your FAQs or Workflows. They can say whether the content was helpful or not and optionally leave comments.

This information is only seen by you and other team members on your instance - it isn't viewable by other customers.

The feedback feature can be very useful as your customers may highlight things that are confusing or information/items you have left out.

When feedback is left a notification will be created. You can see feedback across all content in the Feedback area within the FAQ or Workflow sections. You can also see feedback on an individual FAQ or Workflow when navigating to that FAQ or Workflow via the Library.

Question 8

How do I transfer ownership of an Instance?

Accepted Answer

Each instance has an owner. This is the master user who is ultimately responsible for the instance. If you are on a Team or Enterprise plan you can invite other users to the instance too. If you need to transfer ownership of the instance to another user (for instance if you are leaving a company or organisation) you can do that as long as the proposed new owner agrees.

To do this go to the Settings Section of MyMalcolm, within the instance you wish to transfer ownership of. Navigate to Ownership.

Remember that billing belongs to an instance so you may wish to update the billing details of an instance before you transfer it to someone else.

Question 9

Can I put tracking (or other) tags in my FAQs / Workflows / Hosted Hub?

Accepted Answer

You can add Javascript tracking tags via the Settings Section of MyMalcolm. Select Tracking tags within that section.

For Google Analytics you can just add your GA ID.

For users of Google Tag Manager you can add your GTM ID then manage all tags via their interface.

For any other tags add these in the "Any other Javascript snippets" area.

If you wish to use another tag manager you could add that tag managers code in the "Any other Javascript snippets" area and then manage your tags via their interface.

Question 10

How can I change my Hosted Hub URL?

Accepted Answer

You can change the URL of your Hosted Hub via the Settings Section of MyMalcolm. Go to Custom Domains and you choose a new URL on malcolm.support or malcolm.app here. The URL must be available ie not being used by another customer.

You can also configure your own external domain or sub domain in this area as well.
