How do I add Intro text for Categories, Authors & Tags?

You can add introductory text to your Categories, Authors & Tag listings. This is perfect for giving your customers/users added context or information as they browse your content.

In MyMalcolm you'll see the a "Description" field when you add or edit a Category, Author or Tag.

The Description field supports markdown so it's possible to add styling, links and media too. The content you add will appear on your hosted hub as well as our other formats like embeds, overlays and widgets.

Can I turn off the "last updated" date on FAQs?

If you'd like to hide the "last updated" date displayed on an FAQ you can do this on a per FAQ basis via the Configure / General area of the FAQ in MyMalcolm:

Can you give me an overview of the FAQ section of MyMalcolm?

Within the FAQ section there are several different areas:

Overview: here you can see statistics on the number of views, searches and feedbacks on your collection of FAQs. You can also see your highest rated FAQs and the top searches. You can vary the time period these statistics refer to by adjusting the drop down towards the top left of the graphs.
Library: this is where you can access and manage all the individual FAQ's that you have created or are in the process of creating. There are a variety of display, search, sort and filter options on this screen. You can also mark FAQs as favourites, apply labels and select multiple FAQs to do bulk editing.
Feedback: on this screen you can sell all the feedback that has been submitted by your customers on your FAQs
Activity: here you can see an audit trail of all FAQ activity by you and other members of your Team
Authors: create and manage the public authors of your FAQs here - these are shown as part of the FAQ details (or "meta") that your customers can see.
Categories: Create and manage categories here. Your FAQ's can live in one or more Category. Categories enable you to organise your FAQs into logical groups around topics that make sense to your business, for example you could group FAQs around products or services or locations. Customers can browse FAQ's by category.
Labels: Labels are free form text descriptions that you can attach to particular FAQs in your Library. They can help you organise your FAQs. Labels are seen by you and your instance team members only - they aren't seen by your customers.
Tags: Tags are a way of describing your content and allow an alternate way for your customers to browse FAQ's aside from search and categories.

What is a Workflow?

A Workflow is a web based form that your customers complete. You can build these forms quickly in MyMalcolm and use them to create a digital version of a business process.

You can build everything from simple single screen journeys through to more complex multi-step journeys with conditional routing (ie offering certain choices based on previous answers).

Malcolm! automatically stores all data - including abandoned forms. You can export this data at any time. You can also pass that collected data through to other systems via Integrations or Webhooks.

Question 5

Can I change the "email this answer" description in FAQs?

You can change the text label next to the email an FAQ feature on an indiviual FAQ. This can be useful if you are using the FAQ part of Malcolm! to publish articles or other types of content rather than just answers to questions and the "email this answer" language no longer makes sense.

To update the text go to the Brand section in MyMalcolm, then Themes, then click the edit icon in the relevant theme then select "FAQs" in the left hand nav.

How do I see completions of my Workflow?

When one of your customers completes a Workflow that is called a completion. You can review the data collected via MyMalcolm. Go to the Workflow Section and then select the Completions tab. You can also review completions for an individual Workflow by navigating to that Workflow via the Library and then selecting Completions.

You can export all the Completion data by selecting Exports within an individual Workflow.

Don't forget that you can also configure email notifications each time a Workflow is completed and use Integrations and Webhooks to pass collected data into other systems.

Question 7

Can I restrict some or all of my Team members from seeing and/or exporting submitted Workflow data?

Accepted Answer

Sometimes you may wish to use Workflows but restrict other Team members on your instance from having access to the data that is submitted by your end users.

Here is how to do this

Access is managed via the "Team" section of MyMalcolm.
In that section if you click on a Team Member then select "privileges" you can configure whether a user can see and/or export submitted Workflow data. You can even remove all their access to the Workflow section.
Depending on their settings the Instance Owner and some Team Members may also receive submitted data via email alerts. See more about managing email alerts here.
Regardless of their own preferences Team Members won't receive email alerts relating to Workflow completion if they don't have access to Workflow submitted values and exports.

Some related things to be aware of

Remember that on a Workflow level further email recipients can be added in the "email answers" part of the configure section of the individual Workflow - it may make sense to review this recipient list at the same time you review who on your team has access to end user submitted data.
Be aware that if you are pushing some or all of the submitted data to third party systems via Integrations or Web Hooks then submitted data will potentially be viewable by users in those systems.

How do I embed a Workflow into my website?

It's quick and easy to embed a Workflow into your website or app. In the Library screen of the Workflow section of MyMalcolm click the three dots on the right hand side of the screen and select "Embed"

This will take you into the Share section of MyMalcolm! Here you can choose the type of embed you want to create.

If you want to float your Workflow over your webpage in a widget launched from a button or drawer that hugs the side or top/bottom of the screen select Widget.
If you want to launch an overlay that contains your Workflow from your webpage choose the Overlay option.
If you want your Workflow to appear within a part of an existing webpage select the inline option.
Finally if you the page to redirect to the Malcolm! web hosted version of your Workflow when the embed tag is fired select Redirect. You may wish to use URL rules with this option otherwise the redirect will fire on all pages the Malcolm! master tag is present on.

Follow the create embed process through - the Workflow you came from will be preselected as the content you want to embed. You will be offered various styling and display options based on the type of embed you choose.

At the end of the process you will be supplied with the embed code that you can add to he site or app where you want the Workflow to appear.

Question 9

Is there a way a user can browse all my FAQs/Articles bypassing Categories?

On your hosted hub your users can search for FAQs/Article content by keyword, browse various filtered views (eg most recent, most helpful etc) and also browse the FAQs/Articles within each category.

It can sometimes be useful to offer your users a browsable view of all your FAQ/Articles (regardless of the category/categories they are in) and this is possible via the directory view.

You can enable this Settings --> FAQs --> General where you you can also decide how you want the content on the directory page to be sorted.

When switched on the directory page can be accessed on your hosted hub URL at /faqs/directory and you can create a link to it from a feature box or promo or from text areas like your homepage preamble (all managed from within your theme).

The directory will also show all the categories towards the top of the page (clicking any of these will take you into the category view) and then FAQs/Articles beneath sorted in the order determined in MyMalcolm.

Question 10

How do drafts, versions, publishing and approvals of FAQs work?

Malcolm! has an inbuilt versioning system and optional scheduled publishing and approval functionality.

Versions can be useful if you change the answer to a question but at a later date want to revert the answer back to a previous version.

They can also be useful for compliance and regulatory reasons, eg in the future you might want to review what your FAQ answer was at a certain point in time.

Versions also enable you to "prep" updated content ahead of it going live. For example if you are revising your product or service you might need to update your FAQ content. But you might not want that new updated content to go live until your the changes to your product or service also go live.

How Versioning Works

When you first create an FAQ you are creating a draft. When you have finished editing you publish that draft into a version. When you make a version live that version is then what your customers see.

You can choose which version of content is live via the publishing section of an FAQ. To get to this browse to FAQ via the Library, then once selected go into the Publishing section.

You can also start a new draft based on a published version.

How Scheduled Publishing Works

As well as choosing to make a version live immediately you can also choose to make a version live at a certain date and time in the future. You may only want a version to be live for a certain period of time so you may wish to set an end date. You may also want different versions live at different times. You can set this up and manage and edit upcoming schedules in the publishing section of an FAQ.

How Approvals Work

The Approval functionality adds a stage between turning a draft into a published version - the draft has to be approved. This functionality can be useful if you work in an organisation where a legal or compliance department wants to review any changes to customer facing communications. It can also be useful if one team member, for example a manager or editor, wants to ensure they personally review all content changes submitted by staff members (or perhaps freelancers) before those changes are allowed to go live.

Approvals functionality is off by default. To turn it on go to the Settings section, General settings, Content approval.

Although you can technically approve your own content the approval functionality makes most sense when you have several team members on an Instance. So it tends to be used by instances that are on our Team or Enterprise plan. You can choose which users on your instance have the approval privilege via the Team section.

Notes can be added to each draft you put forward for approval.

If you are waiting for your content to be approved, or you are a user with the approval privilege you can access your options in the Publishing section. This can be accessed globally (ie showing activity and options across all FAQs) within the first level of FAQ or via an individual FAQ where just activity and options for that individual FAQ is shown. )
