Can I turn off feedback comments or enable for negative feedback only?

Sometimes you may wish to turn off the ability for users to leave feedback, or perhaps only offer the opportunity for feedback when the content has been rated negatively.

You can configure your preference via the Settings area of MyMalcolm. You can have different settings for FAQs and Workflows.

Look for the "Feedback comments" setting which appears under Settings --> FAQs and Settings --> Workflows

How do I delete data submitted to a Workflow?

You can delete some or all of the submitted data (including uploaded files) associated with a Workflow by selecting "Delete Data" in the Analyse tab of the relevant Workflow.

You can choose to delete all data or selected data between two dates. Note that as well as removing data the delete process will also remove any exports you previously generated that contain the data plus any files uploaded via the Workflow and MyMalcolm activity logs. Please therefore export and download to your local system any data you wish to keep before starting the delete process in MyMalcolm.

Ratings, analytics and feedback associated with deleted Workflow completions will be kept and can still be reviewed via MyMalcolm post delete.

How do I export data from my Workflow?

You can export all data that has been submitted to your Workflow anytime via MyMalcolm.

To do this go to the individual Workflow via the Library in the Workflow section of MyMalcolm.

Your export will then be generated and will be available to download from this area soon - normally within a few minutes - you'll be emailed when it's ready.

Exports are in .csv format (with options to include any uploaded files and also an option to include part completed / abandoned completions)

Question 4

Can I change where the logo on my hosted hub and hosted pages links to?

Accepted Answer

If you add a logo to your theme it will by default link to your hosted hub home page. Sometimes you might prefer to have your logo link back to your main website, or another destination.

You can change where the logo links to and whether that link opens in a new window or not in the header section of your theme.

Can I turn off the Workflow title?

If you don't want your Workflow title to display you can set this from the configure screen of the Workflow in question.

This setting affects both the web and embed versions of your Workflow. If you want the title to display on one type but not the other you could clone your Workflow and use different settings for each.

How do I build a Workflow?

You can build a Workflow quickly via the Workflow Builder in MyMalcolm.

To get started, first go to the Workflow section of MyMalcolm and then click "Create a Workflow" towards the top right of the screen.

You can then choose whether to build a Workflow from scratch, start with one of our templates or - if you have already created some Workflows previously - clone one of those previously created Workflows.

You can then use our drag and drop builder to create your Workflow.

Once you have created the content of your form, you can to the Configure tab and configure various options including setting up email notifications or Integrations.

By default your Workflow is created as a web form that you access via a URL. But you can also surface that Workflow in a variety of other ways (including float it over page in a widget, via a modal/overlay launched by a button you place on a site, or via embeds or plugins) - take a look at the Share section of MyMalcolm to do this.

Question 7

Can I receive an email every time a new FAQ or Workflow is published?

Sometimes it can be useful to receive an email when a new FAQ or Workflow is published on your instance. This feature is turned off by default - to turn it on follow these steps.

From the MyMalcolm control panel area, click your name at the top of the screen where it says "Logged in as"

You'll then be taken to your personal preferences. If you select the "Notifications" tab on the left you'll be able to edit the notifications you receive. Remember to hit "Save" once you are done!

Note that your notificatons are based on an instance. If you are a user on more than one instance you should first switch to the instance you wish to adjust notifications for. You can do this using the drop down selector at the top right of the screen. You can therefore have different notification preferences for different instances. The notificiation preferences you choose are personal to you and will not affect the notifications of other team members on an instance.

Can I clear sort options in the Library area of MyMalcolm?

Within the Library of FAQs and Workflows in MyMalcolm you can click certain column headings to sort by that column. The first two clicks will vary the sort direction (ascending or descending) and the last click will clear your sort!

How do I make my Workflow into a pop up overlay?

In the Library screen of the Workflow section of MyMalcolm click the three dots on the right hand side of the screen and select "Embed"

This will take you into the Share section of MyMalcolm! Here you can choose the type of embed you want to create.

Choose "Overlay" and work through the screens - the Workflow you came from will be preselected as the content you want to surface in your Overlay. You will be offered various styling and display options and at the end of the process you will be supplied with the code that you should add to your webpage HTML and the inline code used to launch the overlay.

Is there a limit to the number of times a Workflow can be completed?

No - there are no restrictions on the number of times a user can complete a Workflow on any of our plans.
